Volunteer Mailroom Coordinator at the Texas Department of Health
Responsibilities and duties include:
- Recruit and supervise more than 100 on-site volunteers (with and without disabilities), from more than 20 schools/programs and coordinate 50 off-site volunteers (with and without disabilities) monthly, for daily activities in and for the TDH Volunteer Mailroom
- Supervise 5-10 Volunteer Job Coaches and provide training in establishing objectives, evaluating growth, development, and work performance of individuals with disabilities
- Evaluate the personal and professional growth and work performance of volunteers with a variety of evaluation tools tailored to specific volunteer populations (includes leading evaluation meeting every nine weeks with Volunteer Job Coaches to evaluate each volunteer based on objectives and observation notes taken)
- Promote and train volunteers with disabilities in leadership roles that offer a more advanced experience in the management and daily operations of the Volunteer Mailroom
- Create and update mission statement and strategic plan for the Volunteer Mailroom
- Monitor, teach and evaluate the social and work skills of volunteers (e.g. keeping observation notes, individual evaluation forms, student portfolios)
- Provide training and technical support for the preparation and processing of bulk-rate mail projects and the use of office automation equipment
- Reward volunteers with encouragement, support, and regular formal/informal recognition of their efforts
- Provide for safety of volunteers by administering first aid/CPR; contacting EMS or First Responders Team and/or appropriate emergency contact person; managing conflict resolution
- Co-establish the TDH Mentor Program for Volunteers to provide technical support and further opportunities for professional development of volunteers
- Modify and personalize work stations and create adaptation tools for people requiring special accommodations
- Supervise individual volunteers, groups, and assistants volunteering/working in the Volunteer Mailroom through training, scheduling, monitoring attendance, behavior, and performance: evaluating and recognizing the participants
- Manage the daily functions of the Volunteer Mailroom by receiving and processing service requests, setting up and stocking work stations, preparing materials for shipping, and assisting volunteers using various office machines
- Perform administrative and professional functions: filing, answering phones, and setting up new volunteer registration folders, computer files, and medical information
- Create and continuously improve complex word processing, volunteer, program information, and records management systems
- Create, use and continuously improve volunteer and program information system. This system (using WordPerfect, Quattro-Pro, and SAM software) tracks individual and work objectives, job descriptions, performance observation notes, volunteer conduct in accordance with the "Good Neighbor" policy, individual and group hours, registration information, medication needs and log, confidentiality agreements, nametags, photo release agreements, and overall cost savings to programs/agencies
- Orient new programs and agencies to project guidelines and project request procedures
- Consult with programs in the preparation of new work requests (determining appropriate class of mail, collecting needed materials and sample product, and negotiating project deadlines)
- Coordinate the completion of on-site mailroom projects by creating a clean, organized, and stimulating work environment, setting up and re-stocking materials at work stations, orienting volunteers to new projects, providing quality control, removing completed projects and cycling in new projects, delivering completed projects to TDH mailroom or arranging the pick-up of projects and related materials and informing programs of status and completion of projects
- Coordinate the completion of off-site mailroom projects by scheduling and arranging pick-up and delivery of materials as well as completion of appropriate paperwork including timesheets
- Complete special administrative analyses and summaries of staff reports and recommendations for the review of program administrators (e.g. monthly Volunteer Mailroom Services Utilization Report, Volunteer Utilization Report, and Health Tool Chests Tracking Report)
- Prepare routine and special correspondence
- Prepare and process bulk-rate mail, including breaking labels, racking, sacking and tagging mail for delivery
- Create, use and continuously improve a system to evaluate the job performance, customer service, and cost savings provided by the Volunteer Mailroom. Report results to customers, partner schools, programs, the Texas Volunteer Health Corps, and upon request.
- Recruit and register proteges for the TDH Mentor Program for Volunteers and facilitate the initial meeting with mentors and mentor program coordinator
- Create, use, update, and report the results of a system evaluating the results of the Mentor Program for Volunteers
